Privacy policy

Prepared with regard to the Kenya Data Protection Act, 2019. Have this text reviewed by your legal adviser and the Office of the Data Protection Commissioner registration requirements before launch.

Who is responsible

The operator of Laikipia West Constituency Connect, acting for the office of the Member of Parliament for Laikipia West, is the data controller. Contact details are published on the Contact page.

What we collect

Account data (name, email, phone, ward and village, language), the content of reports you submit (title, description, category, optional landmark, optional GPS location and photos), your responses to consultations, notifications, and security logs (IP address and device information for sign-in and audit purposes). We do not collect national ID numbers, political affiliation or religion.

Why we use it

To route and resolve your reports, contact you about them, publish anonymised service statistics, run public participation, keep the platform secure, and meet legal obligations. We do not use reports for electioneering, political profiling or marketing.

Location and photos

GPS location is collected only if you press the location button and agree. It is rounded, stored with the report, and visible only to the staff handling it. Photos of private reports are kept in private storage and delivered through expiring links.

Who sees your data

Your village representative, ward coordinator and constituency office staff can see reports in their area. Platform administrators manage the system but do not have access to citizen reports. Public reports show only title, category, ward and status. Where a case is referred to a government agency, only information needed for that referral is shared.

How long we keep it

Reports and related records are kept for up to 36 months after closure, then deleted or anonymised, unless the law requires longer. Security logs are kept for audit purposes.

Your rights

You may ask to access, correct or delete your personal data, object to or restrict processing, and withdraw consent. Use your profile page to request deletion, or contact the office. You may also complain to the Office of the Data Protection Commissioner.

Security

Passwords are hashed, sessions use secure cookies, connections are encrypted, access is limited by role and geography, and privileged actions are logged.

Changes

We will update this page if our practices change.
